VAT evidence: why a bank payment is not the whole record

Bank feeds make bookkeeping faster, but the payment line does not answer every accounting or VAT question.

Cloud bookkeeping makes it easy to see money leaving the bank. That visibility is useful, but it can create a false sense that the accounting is complete.

The bank tells you that money moved

It does not necessarily tell you exactly what was bought, whether the purchase was for the business, whether the supplier charged VAT, or whether the document held by the business supports the intended VAT treatment.

Evidence gaps are easiest to fix early

When a missing invoice is identified within days or weeks of the transaction, the buyer can usually remember the purchase and obtain a replacement document. Months later, that same query is slower and more expensive to resolve.

Build the check into the bookkeeping cycle

A disciplined bookkeeping process therefore separates two questions: has the bank transaction been reconciled, and is the evidence/accounting treatment complete? That distinction is particularly useful before a VAT return is prepared.

The detailed VAT position depends on the facts and applicable rules, but the control principle is consistent: do not confuse payment data with complete accounting evidence.
